1. Who We Are

CWS Dictate (the "Service") is operated by Cornerstone Welfare Solutions by S. Edsall (the "Seller", "we", "us"). For the purposes of applicable data protection law,Cornerstone Welfare Solutions by S. Edsall is the data controller of the personal data described in this notice. 2. Personal Data We Collect and Why

  • Account data — email address, login credentials, and multi-factor authentication settings. Used to create and secure your account (legal basis: performance of our contract with you).
  • Content you submit — dictation notes, transcripts, uploaded images of handwritten notes, author name/title, and saved reports. Used solely to provide the Service to you (legal basis: performance of contract).
  • Support messages — correspondence you send us. Used to respond to and resolve your requests (legal basis: legitimate interests).
  • Usage and technical data — plan and usage counts, device identifiers, IP address, and log data. Used for security, fraud prevention, enforcing plan limits, and product improvement (legal basis: legitimate interests; legal obligation where applicable).

Payment card and billing details are collected and processed directly by Paddle, our Merchant of Record; we do not receive or store your full payment card details.

3. How We Share Data

We share personal data only with the following categories of recipients:

  • Service providers / subprocessors — hosting, database, and infrastructure providers that power the Service, and the AI provider (Anthropic) that processes the notes, transcripts, and images you submit in order to generate your reports.
  • Merchant of Record (Paddle) — for the sale of subscriptions, payment processing, subscription management, tax compliance, and invoicing.
  • Professional advisers — legal and accounting advisers where necessary.
  • Authorities — where required by law or to protect our legal rights.

4. Data Retention

We keep personal data only for as long as needed to provide the Service and meet legal, accounting, or reporting obligations. Saved dictations are kept until you delete them or close your account. When data is no longer needed, it is deleted or anonymised.

5. Security

We apply appropriate technical and organisational measures to protect personal data, including encryption in transit and at rest, row-level access controls so each user can only access their own content, and support for multi-factor authentication.

6. Your Rights

Depending on the laws of your state or country, you may have the right to access, correct, delete, restrict, or port your personal data, to object to certain processing, and to withdraw consent where processing is based on consent. To exercise any of these rights, contact us at support@cwsdictate.com. You may also have the right to complain to your local data protection or consumer protection authority.

7. Cookies

The Service uses essential cookies and local storage only — for authentication sessions and core functionality. We do not use analytics, advertising, or marketing cookies. You can clear these through your browser settings, though signing in will no longer work without the essential session storage.

We may update this notice from time to time. Material changes will be posted on this page with an updated "Last updated" date.
